A paid sample, a free email address, imperfect English, or contact through Instagram does not establish dishonesty. Equally, followers, polished videos, and a professional website are not independent verification. A small successful order provides useful experience, but later payments still need the same account checks.

Verify the Company, the Contact, and the Production Site

Build an identity record

For a Chinese supplier, request its Chinese legal name and unified social credit code, alongside the English trading name. Compare the quotation, purchase order, invoice, and proposed beneficiary. Record the registered address separately from the showroom and production addresses. Transliteration differences need clarification rather than guesswork.

Use the National Enterprise Credit Information Publicity System to check available company records. China's market regulator explains its real-name query system; access can require verification. If you cannot complete the search, obtain independent local assistance. Do not substitute a supplier's screenshot for your own check.

Keep one supplier record containing the legal name, verified contact, production address, order number, beneficiary relationship, and date of each check. Attach explanations for differences instead of leaving them in scattered chats. This gives the person approving payment the same evidence as the person negotiating the garments, and makes later changes easier to spot.

Confirm the person's authority

Registration establishes information about an entity. It does not prove that the person messaging you represents it. Cross-check the contact through a channel you established independently, and confirm that the company recognizes the salesperson, quotation, and order. Do not rely solely on the number in a new payment email.

Check the actual production arrangement

Ask for a live walkthrough or visit covering relevant development, cutting, sewing, and inspection areas. Ask which site will handle your order and which operations are subcontracted. Confidential work may limit filming; arrange a suitable alternative instead of treating one camera refusal as proof of a scam.

Verify Bank Changes Outside the Payment Conversation

Business email compromise can involve access to genuine email accounts. A message inside an existing conversation can therefore be fraudulent. The FBI's IC3 guidance recommends using a secondary channel to verify changes in account information.

  1. Pause the transfer. Do not update the beneficiary simply because an invoice looks familiar or a shipping deadline is close.
  2. Contact a previously verified person independently. Use a number already validated in your supplier record, rather than the replacement number supplied with the change.
  3. Confirm the instruction and relationship. Ask the supplier to explain the beneficiary, reason for the change, and affected order.
  4. Record approval. Where your team allows it, have a second person review the evidence before accounts payable changes its records.

An associated export company or a platform payment processor may have a different name from the sewing factory. The requirement is an explained, verified payment chain consistent with the contract or platform order. An unexplained personal account or unrelated third party remains a reason to hold payment.

A deposit-and-balance arrangement limits how much is paid at each stage; it does not authenticate the recipient. Evaluate sample fees separately from a bulk deposit, and agree what evidence must exist before each installment becomes due.

Choose a payment route after checking its application to your business, country, goods, and order. Keep the agreement and payment linked to the same transaction. No payment logo replaces supplier verification or a measurable product specification.

Alibaba Trade Assurance

Alibaba's Trade Assurance overview describes forming an order and paying through Alibaba.com. Check that your actual order uses the relevant service and follow the payment instructions inside the verified platform account. Finding a supplier on Alibaba does not establish protection for a separate direct transfer.

Put the agreed product details, quantities, shipment commitments, and supporting specifications in the order record. Review its current claim window and evidence requirements. Alibaba's money-back policy distinguishes refund support from conditional Easy Return services. Do not assume all custom garments qualify for free local returns.

PayPal and business inventory

Check the rules for your account's market. As reviewed on September 26, 2026, PayPal's U.S. Purchase Protection terms exclude items intended for resale and exclude significantly-not-as-described claims for wholly or partly custom-made items. Personal payments are also excluded. These are separate eligibility restrictions; selecting goods and services does not remove them.

This U.S. example should prompt an account-specific check, not an assumption about every country. Ask the provider how its terms apply to the intended transaction before relying on protection.

Define the inspection points, who can inspect, how results are shared, and what happens after a failure. For example, an incorrect approved label requires correction; an out-of-tolerance measurement requires a recorded assessment against the specified measuring method. Document differences without immediately calling them bait-and-switch. Check whether material substitutions were approved, whether the measurement method changed, and whether the shipment contains the correct style. Inspect the actual shipment

A factory audit evaluates the site or systems. A shipment inspection checks goods from an identified order. A missed reply does not establish fraud. However, suspected payment diversion requires immediate attention; do not wait for certainty before notifying the financial institution. Keep the commercial problem and the payment-security problem distinct.

  1. Contact the bank or payment service. Provide the transfer date, amount, currency, beneficiary, transaction reference, and why you suspect fraud. Ask what interception, recall, or tracing options are available. IC3's BEC response guidance calls for contacting the originating bank promptly. Recovery is not guaranteed.
  2. Confirm through another trusted channel. Contact the real business independently and ask whether it recognizes the invoice and payment request. Stop additional transfers while the discrepancy is unresolved.
  3. Preserve original records. Retain emails with full headers, chat exports, order versions, invoices, receipts, account-change messages, and delivery evidence. Keep physical samples, packaging, and inspection records if quality is disputed.
  4. Use the appropriate dispute and reporting channels. Check your platform or provider's procedures and deadlines. Create a short timeline showing what was promised, paid, delivered, changed, and unanswered. Separate facts from assumptions.
